What will happen to my in-house team?
We intend to create a successful collaboration with your in-house team so you can reposition them to focus on higher value tasks within your agency. You can leave the QA work to us and let your team concentrate on patient care, process improvement, marketing, and boosting those star ratings.
Will it be cost-efficient?

Since Qavalo charges a monthly subscription rate based on your agency’s census size, we help you respond quickly and economically to seasonal census fluctuations. You can choose from our three service levels while having the option to upgrade or downgrade your subscription anytime.
Who's going to do the review of our charts?
We only employ full-time, dedicated registered nurses, physical therapists and certified coders to staff your account. All are equipped with extensive clinical experience and training for the home health industry. They are familiar with Medicare and have passed a thorough recruitment process so you are assured that qualified professionals are handling your documentation.
I see you’re based in the Philippines, how can I supervise your work considering differences in time and location?
We can set up conference calls or meetings at your own time convenience (US local time) to address any concern and cater to your needs.
Can an outsourcing company align with our specific needs and in-house processes?
Your agency specific protocols are incorporated into our QA process through our one week onboarding process which enables us to QA exactly how you want it done. We take 2-3 days to fully assess a new client’s charts and compile a list of your agency’s most commonly occurring problem areas. On our onboarding conference call, a very comprehensive client-specific protocol is established, hand-in-hand with the client, so we are applying both your internal agency standard and the CMS standard to your documentation.
Are there other offerings that come with your main QA and coding service?
Yes. You’ll receive comprehensive QA reports and analytics as part of our main QA and coding service. These reports are useful to identify your areas of concern, monitor your clinicians’ performance and streamline your overall documentation process. Others use them for payroll purposes, staff evaluation and QAPI efforts.
Which EMRs do you support?
We currently use Kinnser for our clients. If you are using a different EMR, our team typically takes around 1-2 days to get acquainted to the new software.
Do you review the 60-day summary, face-to-face encounter and private insurance charts?
Absolutely. All these are included in our packages and we can QA them for you. Please note that we DO NOT create the 60-day summary or face-to-face encounter, we can only go as far as reviewing them and assisting your clinicians (via templates) on meeting the critical areas and requirements for each specific document type.
Do you directly edit charts from the EMR?
Visit Notes: Generally, we do not edit your visit notes directly from the EMR, except for very minor typographical errors, which will be subject to your permissions. We only communicate to clinicians (via sticky notes for Kinnser) with suggested correction points to guide them in doing the edits themselves.
OASIS / 485: We establish a workflow process that best suits our client for these more time-sensitive documents. A collaborative approach can include edits and correction forms that involve your clinicians in the correction process.
What is your timeline to turnover charts?
Typically, we have a 48-72 hours turnaround time, but for special cases like billing priority lists, we can turn them around in as fast 24 hours.
Is there any arrangement where I can test if your services fit our needs?
You can avail of our free trial, and within 24hrs from receiving EMR access, we can review a number of your charts for free— no strings attached, no payment details required upfront. You will receive the results via pdf report, and we will make no changes directly to your EMR in the process.
